Property Management is a great business opportunity for not only the individual needing their property managed or the person needing to locate a place to live, but also the person that is providing the property management. When done properly, the property remains well preserved, the tenant has a place to reside that shows pride of ownership and they can be proud to have their family raised there, and the owner will have an appreciating asset.

There are a number of things that need to be covered when discussing proper property management. The systems that most people use to manage property are built around the financial end of management and the rest stems from there. The public is always looking for ways to accomplish their goals and not let anything go by the wayside. Without checks and balances to keep them on track, things can go for days or even weeks without any attention. In property management, time is money. When you lose a month’s rent, it is nearly impossible to regain that money. So, the biggest element to a successful management system is one that handles things promptly, the first time and every time.

Financial Systems

Financial systems that are built to work with QuickBooks, Quicken, Peachtree, Excel and others offer a property owner and manager the ability to make his system as robust as they need without using specialized software. But all managers are looking for the one system that will do all the stuff they need and ensure the item is handled in a timely manner. The search goes on for that magical one source system that will answer all those needs and where all work stems from there with its own checks and balances creating a well oiled machine for their business.

Software Options

Managers and users go on the search for the perfect property management system, why are they so skeptical about buying the “off the shelf” system? They are skeptical because they know what they need and they understand the system they need to use should be unique to them and their circumstances and needs. They are right, and most people spend a lot of money before realizing that the system they just invested thousands of dollars in is not adaptable to what they need. So then the user is forced to create other methods; white boards, charts, 2nd, 3rd and 4th software, etc. so they can track all that is needed. Next they attempt to import and export to and from those systems only to find they are not compatible with the systems they have purchased, forcing them to spend more time and money to accomplish their goal.

The Right System

The real goal is to have a system that is built to handle all aspects of the property management process with the ability to turn off certain features if they feel it is not needed in their system so it is not a burden. Users could also create their own steps that they feel are important to their system. Each would have its own trigger time so there are no missed steps. A built in time table would prevent lack of awareness of a task not being completed and would be able to track all steps in the property management system. Another feature would be an button for the user to oversee the entire program so if there is a ‘headache’ they would be able to tend to the problem while it is still only a small problem. While doing this, the cost would be a small monthly fee to try out the system for the number of properties they manage and month to month thereafter.
